Phase 4: Data Retrieval Development

Identification of data retrieval needs

During phase 1 of the implementation process, you probably made a preliminary decision about your data retrieval needs, specifically whether or not you want to be able to print form submitted to you in PDF format and/or want the ability to download form data in a file format compatible with other systems, such as your student information system (SIS).

In phase 4, you have a conference call with your Account Manager and consulting Web Developer during which they explain the PDF conversion and data download processes to you, familiarize you with the information we need from you to begin development of these processes, and get your decision about whether you want PDF printing, data download, or both.

Gathering of data retrieval materials

You next fill out and submit the Data Retrieval Project Specifications form. In this forms, you provide the following information:

  • A technical contact at your institution who is familiar with your form(s) and printing and data format needs
  • PDF printing requirements, with attached PDF version of form
  • Data download requirements with file layout
  • Other pertinent information such as which SIS you have to assist us in determining your data integration needs, whether you use an imaging system and want data in TIFF format, and so on

Building data retrieval services

Our web development staff builds your PDF printing and/or data download processes, and informs you when they are ready for testing.

Testing data retrieval methods

Your identified technical contact and others at your institution test your PDF printing and/or data download processes to make sure they're working properly.
