More on Application Searching
You may want to search for other applications instead of the ones that
appear by default. The “Application Search” screen
allows you to do this. In addition, any time you are presented with a list
of applications, you can search through them by name and
SSN.
There are two ways to get to the Application Search screen:
- If you are already in the "ApplyWeb Application Printing" screen or the
"Applyweb Batch Download" screen, click the
button in the upper right corner of the list of applications.
- From the main administrative menu, click the "Search" link.
If you get to the Application Search screen from the main administrative
menu, you'll see a radio button that says:
Search applications for: [x] Printing [ ] Downloading
This button determines whether you will be able to print or download the
applications once the search is completed. The default value is "printing,"
and to change it to downloading, simply click that radio button.
The most likely choice you will want to make is to look for other Submitted
applications within a certain date range. For example, if applicant Jane
Smith calls your office and says she applied in mid-February, you may want
to look for her application. To do this:
Detailed Directions:
1) Click the radio button next to “Submitted” in
the Search Criteria table. (It's the last button in the list.)
2) Select the date range by using the pull-downs
for month, day and year.
Be sure to select both a “from” date and a “to” date. The search will
include the dates selected.
Today's date always appears as the default value in the “to” date.
One month prior to today's date appears as the default value in the “from” date.
NOTE: If you click the
, the choices
in the Search Criteria table return to their original values.
3) Click
This will bring you to a new screen that will list the applications
found in the search. (Use your browser's back button to perform a different
search.)
4) Search Further, . . .etc. From here you have several options:
-
Search through the listed applications by name or
SSN.
-
Print the application(s) individually by clicking on the Transaction
ID link.
-
Perform a batch operation. This will be either batch print or batch
download. The option that is presented is determined by the pages you came
from. If you originally chose “Print” from the
ApplyWeb Operations Menu, you will be able to batch print. If you originally
chose “Download Batch File” you will be able to do just that.

Searching for Applications by Name
and SSN
Any time a list of applications is displayed,
you can search for an application by name or SSN. To do this, use your
browser's “Find…” function:
Detailed Directions:
1) Click the Edit menu at the top of your browser.
2) Select “Find . . .” or “Find in Page . . .”
This brings up a dialog box that allows you to enter the text you are
searching for.
3) Enter the student's first, last, or middle name,
or SSN, and click the “Find” or “Find Next” button.
If the text you entered is found, it will be highlighted.
4) Close the dialog box (click “cancel”) and determine
if the highlighted application is the correct one.
5) Repeat steps 1 through 4 until you find the application you are
searching for or to find other applications.
6) Be creative in your searches!
Try first name instead of last; omit the dashes in the SSN, or just
enter a subset of the SSN. Remember to search for only one variable at
a time. A search on first AND last name will probably come up empty.

More on Application Searching
The Search Criteria table on the “Application Search”
screen also allows you to make other search selections. These are divided
into two groups. The first group allows you to choose from administrative
functions you have not yet performed. The second group allows you to choose
from administrative functions you HAVE performed as well as from all submitted
applications. In general the first group corresponds to current applications
and the second groups corresponds to old applications:
First Group |
Second Group with Date Parameters |
Includes administrative functions you have not yet performed |
Includes administrative functions you HAVE performed, as well as all
submitted applications. |
Corresponds to applications you have not yet retrieved - i.e. current
applications. |
Corresponds to applications you have already retrieved - i.e. old applications. |
The search criteria that appear on the "Application Search"
screen are determined by the administrative functions you have been assigned.
These are determined when your administrative account was created, but
they can be changed. For example, if you have been assigned printing and
acknowledgment functions, the first group will include the ability to select
applications that you haven't yet acknowledged, or those that you haven't
yet printed - i.e. current applications.
The second group always includes the option to select all submitted
applications. It will also allow you to select old applications: those
that you have already printed or acknowledged.
