What is the Transaction ID?
The Transaction ID is the primary identifier for each application and is unique to each application. It is made up of three parts: the application name, the applicant's User Name and a date/time stamp. The three parts of the Transaction ID are connected with an underscore (_). There are no spaces in the Transaction ID. The entire format is:

For example, a Transaction ID might look like this: This means a student with a username of JSMITH1 applied to Stanislaw State University on April 8th, at 10:18 and 33 seconds, pm, Pacific Time.

NOTE: The Transaction IDs are presented as links on all ApplyWeb Administrative Operations pages. Because links are always underlined, the underscore is not apparent, but appears as a space. If for some reason you are typing a Transaction ID, be sure to include the underscore between the three parts of the Transaction ID. Again, there are NO spaces in a Transaction ID.
 

The Application Name is a unique abbreviation of up to 8 characters for your application(s). We try to make these abbreviations as intuitive as possible. In general a regular undergraduate application is named with an abbreviation of your school name. A transfer application generally ends in “t,” an international application in “i,” and a graduate application in “g.”

For the fictitious Stanislaw State University above, abbreviations might look like this:

All Transaction IDs end with a date/time stamp. This is a 10-digit string in MMDDHHMMSS format and represents Pacific Time. This tells you when the application was submitted.

About the User Name

The User Name is the name the applicant chooses when she/he creates their account. It is made up of ONLY letters and numbers and can be all numbers. When the applicant is using ApplyWeb, letters are lowercase. When the user name appears in the Transaction ID, uppercase is used.

The User Name always appears between the two underscores in the Transaction ID. If you are speaking with an applicant about their application, be sure to get their User Name. If you need to refer a question to us, having the Transaction ID will make it much easier for us to troubleshoot.
 

Troubleshooting/Getting Help

If an applicant contacts you with a question about your on-line application that you cannot answer, you are welcome to refer them to us at awadmin@collegenet.com. If the problem is urgent, you can call (or have the applicant call) Erica Langbecker at (503) 973-5251.

To help us troubleshoot, the best thing you can do is get the Transaction ID or at least the USER NAME of the applicant. This will help us access that applicant's account information easily.

If the applicant is using AOL, be aware that many AOL browsers do not support secure servers. This means they cannot get to the on-line application at all. AOL users can download the latest AOL browser (which does support secure servers) or even the latest Netscape Browser.
